The admin - the quotes, the invoices, the chasing, the paperwork - that's the friction. And it's been eating your evenings for years.
Claude.ai is an AI assistant built by Anthropic. It won't lay your cables or skim your plaster. But it will handle a significant chunk of the desk work that's been slowing you down and it will do it faster than you can type.
This is the first post in a 12-part series designed to take you from complete beginner to running a sharper, leaner trade business with AI doing the heavy lifting on the tasks that don't need your hands on them. No tech background required. No jargon. Just practical wins.
Let's start with the basics.
What Claude.ai Actually Is
Claude.ai is a web-based AI assistant you access through your browser or phone. You type (or paste) something in a request, a question, some rough notes and it responds with polished, useful output almost instantly.
Think of it as a highly capable office manager who never sleeps, never charges overtime, and can switch between writing a professional quote, drafting a complaint response, and summarising a legal document without breaking stride.
It is not a search engine. It doesn't pull results from the internet like Google. Instead, it generates responses based on its training which means it's at its best when you give it the context it needs to do the job properly.
A plumber in Sheffield said it best: "I described a job I'd just finished, told it what I charged, and asked it to write me a proper invoice. Took 20 seconds. Looked better than anything I'd managed in three years of using Word templates."
What It Costs
The free tier of Claude.ai is generous. You get access to a capable AI model enough to handle quotes, emails, job sheets, and most day-to-day trade admin without spending a penny.
There is a paid tier (Claude Pro, currently around £18/month) that gives you access to more powerful models and higher usage limits. For most tradespeople starting out, the free version is sufficient. As your use grows and you start building more complex workflows, the Pro tier pays for itself quickly.
For context: if Claude.ai saves you 30 minutes of admin per working day, that's roughly 130 hours a year. At your day rate, you can do that maths yourself.
Three Things You Can Do With It Today

You don't need to read this entire series before getting value. Here are three things you can do in the next 15 minutes.
1. Write a quote from your rough notes
Type up the job you've just surveyed what it involves, the materials, the time estimate and ask Claude.ai to turn it into a professional written quotation. It will structure it, add the right language, and produce something you'd be happy to send to a client.
2. Draft a reply to a difficult customer
Paste in the email or message you've received even if it's a complaint or a payment dispute and ask Claude.ai to help you respond professionally and firmly. It keeps the tone right when you're too close to the situation to do so yourself.
3. Create a job description for your next hire
If you're thinking about taking on an apprentice or a labourer, describe the role and ask Claude.ai to write the job advert. Ten minutes. Done.
What It Won't Do
It's worth being clear about the limits, because overpromising is the fastest way to lose trust.
Claude.ai will not file your self-assessment for you. It won't automatically send emails on your behalf. It won't log into Checkatrade or update your Tradify account. It generates text and content you decide what to do with it.
It also doesn't know your specific business unless you tell it. The more context you give it like your trade, your location, your typical customer, your pricing the better and more relevant its output becomes. We'll cover exactly how to do this well in Post 2.
And occasionally it gets things wrong. Not often, and rarely on straightforward tasks, but you should always read what it produces before sending it to a client. You're the professional. It's the tool.
Why This Matters Now
The UK trades sector is facing a productivity squeeze. Labour costs are up. Margins are under pressure. Finding and keeping good staff is harder than ever. The tradespeople who are pulling ahead aren't necessarily the ones working longer hours, they're the ones who've stopped doing £15-an-hour admin work themselves.
