Series: Claude.ai for Tradespeople | Post 5 of 12

You know exactly what happened on site today. The problem is getting it out of your head and into a format that's useful, professional, and increasingly required.

Job sheets, method statements, risk assessments, and handover documents aren't just paperwork. They're your legal protection when a job is disputed. They're your quality control system when you're scaling to a team. And they're the difference between a business that looks professional and one that looks like a one-man band winging it.

Most tradespeople know they should be producing better site documentation. Very few do β€” because it takes time they don't have, and the writing doesn't come naturally.

Claude.ai closes that gap in minutes.

Four Documents Every Tradesperson Should Be Producing

Job Sheet, a written record of the work carried out on a specific job. Protects you in disputes. Provides a record for your own accounts. Gives the customer confidence that the work was systematic and thorough.

Prompt: "I am a [TRADE] based in [LOCATION]. I've just completed work at [ADDRESS OR JOB REFERENCE]. Here are my rough notes from today:

[PASTE YOUR NOTES β€” as rough as you like. Voice note transcription, bullet points, a stream of consciousness description of what you did. Don't edit it. Just paste it.]

From these notes, produce a professional job sheet that includes:

- Job reference / date
- Client name and address
- Description of works carried out (in clear numbered items)
- Materials used
- Hours on site
- Any observations or follow-up items
- Completion status (complete / further work required)

Use professional but plain English."

Method Statement, a step-by-step document describing how a specific piece of work will be carried out, the risks involved, and the controls in place. Often required for commercial jobs, council contracts, and any work in occupied premises.

Prompt: "I am a [TRADE] and I have been asked to produce a method statement for the following job:

[DESCRIBE THE JOB IN AS MUCH DETAIL AS YOU CAN]

The work will be carried out at [TYPE OF PREMISES]. The approximate duration is [X days]. My company name is [NAME].

Produce a professional method statement that includes:
- Scope of works
- Sequence of operations (step by step)
- Tools and equipment required
- Materials to be used
- Key risks and control measures
- PPE requirements
- Emergency procedures / contacts
- Environmental considerations

Use formal language appropriate for submission to a main contractor or housing association."

Risk Assessment, a formal document identifying the hazards associated with a job and how you'll mitigate them. Required by law for all employers, and best practice for sole traders. Essential for any work at height, with live electrics, or in confined spaces.

Prompt: "I am a self-employed [TRADE]. I need a generic risk assessment template covering my most common type of work: [DESCRIBE YOUR TYPICAL JOB]. Include the most common hazards for this type of work, the likelihood and severity ratings, and the control measures I should have in place. Format it as a table where possible. I will use this as a base template to adapt for individual jobs."

Handover Document / Completion Report, a summary of what was done, any relevant warranties, maintenance guidance for the customer, and certification details. Elevates the end of a job from "here's your invoice" to a professional handover.

Prompt: "I've just completed a [DESCRIBE JOB] for a residential customer at [LOCATION]. The work included: [BRIEF DESCRIPTION OF WHAT WAS DONE].

Relevant details:
- Any warranties: [e.g., 12 months on workmanship, manufacturer warranty on boiler]
- Certification: [e.g., Gas Safe certificate, Part P notification, FENSA certificate]
- Maintenance notes: [anything the customer needs to do to maintain the installation]

Write me a professional one-page handover document for the customer that summarises the works completed, provides the relevant warranty and certification information, and includes any maintenance guidance. Close with a note inviting them to get in touch if they have any questions and asking them to consider leaving a review."

Voice Notes Are Your Friend

You don't have to type your site notes. Most tradespeople use the voice-to-text function on their phone at the end of a job or at the end of the day. Speak your notes aloud, let the phone transcribe them, then paste the (inevitably messy) transcript into Claude.ai with the appropriate prompt above.

The transcript doesn't need to be tidy. Claude.ai can work with a rambling, unedited voice transcription and turn it into a clean, professional job sheet in 20 seconds.

The Compliance Angle

With HMRC's Making Tax Digital pushing more tradespeople toward digital record-keeping, and with construction sector contracting increasingly demanding documented health and safety compliance, the tradespeople who already have documentation habits in place are ahead of the curve and not just professionally, but legally.

Building these habits now, with Claude.ai making them almost effortless, is an investment in the long-term resilience of your business.
